This policy explains what personal data we collect when you use this website, why we collect it, and what rights you have. We follow the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Who we are
Optomate builds automation systems for UK businesses. We are the controller of the personal data described here. You can contact us about anything in this policy at admin@optomate.co.uk.
What we collect
When you fill in a form on this site, we collect what you give us:
- Your name
- Your email address
- Your phone number
- Your business name
- Your business website
- The message you send us
Why we use it
- To reply to your enquiry.
- To prepare a free automation audit for your business, if you asked for one.
We do not sell your data, and we do not use it for unrelated marketing.
Our lawful basis
- Consent: you choose to send us your details through our forms. You can withdraw consent at any time by emailing us.
- Legitimate interest: we have a legitimate interest in responding to business enquiries and preparing the audit you asked for, in a way you would reasonably expect.
Who else may handle your data
We use trusted service providers (processors) to run our business. They only process your data on our instructions:
- Google Workspace: email and calendar.
- Groq and Google Gemini: AI analysis used to prepare your audit.
- Langfuse: system logs, with email addresses masked.
- Vercel: website hosting.
- GitHub: running our processing jobs.
International transfers
Some of these providers may process your data outside the UK. When that happens, we rely on appropriate safeguards, such as UK adequacy regulations or the UK International Data Transfer Agreement / Addendum to the EU Standard Contractual Clauses.
How long we keep it
We keep your data for 12 months from your last contact with us, then delete it. If you become a client, we keep it for as long as the client relationship requires.

You have the right to:
- Access the personal data we hold about you.
- Correct anything that is wrong or incomplete.
- Delete your data.
- Object to us using your data.
To use any of these rights, email admin@optomate.co.uk. We will reply within one month.
